1. About this Privacy Policy
This Privacy Policy explains how Destination Hub Limited collects,
uses, shares, stores and protects personal information when you visit
Destination Hub, search for travel services, contact us, request or
make a booking, make a payment, manage a booking, submit a price
challenge or otherwise use our services.
Where Destination Hub Limited determines why and how personal
information is processed, Destination Hub Limited is the controller of
that information.
2. Information we may collect
Depending on how you use Destination Hub, we may process:
- your name;
- email address;
- telephone number;
- postal or billing information where required;
- booking and confirmation references;
- hotel, attraction and experience selections;
- check-in, check-out, attendance and other booking dates;
- guest or participant numbers and ages where required;
- traveller information required to arrange the selected service;
- room, meal-plan, ticket and rate selections;
- booking price, currency and payment status;
- payment-related information required to administer a transaction;
- cancellation, amendment and refund information;
- messages, enquiries, complaints and customer-support correspondence;
- price-challenge information you choose to submit;
- technical information such as IP address, browser and device information, timestamps, request logs and security information;
- your privacy and optional-technology choices;
- other information you voluntarily provide where reasonably relevant to the service you request.
3. Information about other travellers
If you provide personal information about another guest or participant,
you should have authority to provide it and should make them aware that
their information may be processed for the booking. Please do not
provide information that is not reasonably required for the service.
4. Why we process personal information
Travel searches and booking requests
We use information to search for services, check availability, provide
prices, process booking requests and take other steps you ask us to
take before entering into a contract.
Confirmed bookings
We use booking and traveller information to arrange and administer
confirmed bookings, communicate confirmations and important service
information, provide Booking Management and deal with amendments,
cancellations and refunds.
Payments
We process information required to arrange, reconcile and support
payments. Payment information entered into a secure external payment
interface may be processed directly by the relevant payment service
provider.
Customer service and complaints
We use contact, booking and correspondence information to answer
questions, investigate issues and resolve complaints.
Security and fraud prevention
We may process technical, transaction and security information to
protect Destination Hub, our customers, travel providers and systems,
prevent fraud and abuse, investigate security incidents and maintain
service integrity.
Legal and accounting requirements
We may process and retain information where necessary for applicable
legal, regulatory, accounting, tax and record-keeping obligations.
5. Lawful bases
Depending on the processing concerned, we may process information:
- to take steps at your request before entering into a contract;
- to perform a contract with you;
- to comply with a legal obligation;
- for legitimate interests such as operating and securing Destination Hub, preventing fraud, providing customer support and resolving disputes, where those interests are not overridden by your rights;
- on the basis of consent where consent is required.
6. Who we may share information with
Where reasonably necessary to provide, administer or support the
service you request, information may be disclosed to:
- hotels and accommodation providers;
- attraction and experience operators;
- travel suppliers;
- reservation and booking technology providers;
- payment service providers;
- email and communications providers;
- hosting, infrastructure, security and IT providers;
- professional advisers;
- government, regulatory or law-enforcement bodies where disclosure is required or permitted by law;
- a purchaser or successor where reasonably necessary in connection with a genuine corporate transaction and subject to appropriate protections.
A hotel, attraction operator, travel supplier, payment service provider
or other organisation may have its own responsibilities under
data-protection law and its own privacy information.
7. Payment information
Where a booking uses an external payment service, payment information
may be processed directly by the payment service provider to authorise
and process the transaction.
Destination Hub does not ask customers to send complete payment-card
credentials through ordinary email or general contact forms.
8. External functionality
Destination Hub may provide maps, location information, payment
interfaces or other functionality using external service providers.
Loading or interacting with external functionality may result in that
provider receiving technical information.
Where optional storage or access technology requires consent, the
relevant privacy choice will apply.
9. International processing and transfers
Travel is inherently international. A hotel, attraction operator,
travel supplier or technology provider involved in the service you
request may be located outside the United Kingdom. Booking information
may therefore need to be processed in the country where the service is
provided.
Where Destination Hub is responsible for a restricted international
transfer, we will use an applicable lawful transfer mechanism or
safeguard where required. You may contact us for further information
about safeguards relevant to your information.
10. How long we keep information
We keep personal information only for as long as reasonably necessary
for the purpose for which it was collected and for applicable legal,
accounting, tax, fraud-prevention, security, dispute and record-keeping
requirements.
When determining retention periods we consider:
- how long information is required to provide and support a service;
- whether a booking or transaction was completed;
- legal limitation and dispute periods;
- tax, accounting and financial-record requirements;
- fraud and security requirements;
- booking and payment reconciliation requirements;
- whether information can instead be anonymised.
When information is no longer required, it will be deleted, anonymised
or otherwise disposed of appropriately.
11. Security
We use technical and organisational measures intended to protect
personal information against unauthorised access, alteration,
disclosure, loss and misuse. No internet service can guarantee absolute
security.
12. Cookies and similar technologies
Destination Hub uses technologies necessary to operate and secure the
website and services requested by you. Optional technologies are
controlled through our privacy choices where consent is required.
13. Your rights
Depending on the circumstances, you may have rights to:
- access personal information;
- correct inaccurate information;
- request erasure where the right applies;
- request restriction of processing;
- object to certain processing;
- data portability where applicable;
- withdraw consent where processing is based on consent;
- exercise applicable rights relating to qualifying automated decision-making.
These rights are subject to legal conditions and exemptions and do not
all apply in every situation.
